This policy explains how we handle personal information for ReMatch users, agencies, buyers, and website visitors.

Overview

ReMatch helps real estate teams manage listings, buyers, inspections, messages, and buyer-listing matching. This Privacy Policy explains how ReMatch and Data Wombat collect, use, disclose, and protect personal information when you use our website, application, and related services.

By using ReMatch, you agree to the collection and use of information described in this policy. If you use ReMatch on behalf of an agency or organisation, you are responsible for making sure your use of buyer and customer data complies with applicable privacy, spam, and real estate obligations.

Information we collect

We may collect account details such as names, email addresses, phone numbers, profile images, organisation names, billing status, and authentication information.

We may collect real estate workflow information such as listing details, buyer contact details, buyer preferences, inspection visits, enquiries, messages, matching results, imported CSV data, and related notes entered into the service.

We may collect technical information such as device, browser, IP address, usage events, log data, cookies, and diagnostics so we can secure, operate, and improve the service.

Where payments are enabled, payment processing is handled by Stripe. We do not store full card numbers on our own systems.

How we use information

We use information to provide the ReMatch service, authenticate users, manage accounts, process visits and buyer preferences, generate buyer-listing matches, support messaging workflows, and maintain listing operations.

We also use information to secure the service, prevent misuse, troubleshoot errors, provide support, improve product quality, communicate service updates, and meet legal or regulatory obligations.

We do not sell personal information. We do not use your agency customer data to advertise unrelated third-party products.

Disclosure and service providers

We may disclose information to service providers that help us operate ReMatch, including hosting, database, authentication, storage, analytics, payments, email, and support providers. These providers are only authorised to use the information as needed to provide services to us.

We may disclose information if required by law, to protect rights and safety, to investigate misuse, or as part of a business transfer such as a merger, acquisition, or sale of assets.

Your organisation controls the data entered by its authorised users. Users inside the same organisation may be able to access shared operational data depending on product configuration and permissions.

Security and retention

We use reasonable technical and organisational safeguards designed to protect personal information, including managed authentication, access controls, and infrastructure security provided by our platform vendors.

No internet service can be guaranteed to be completely secure. You are responsible for keeping account credentials safe and for limiting access to authorised users.

We retain information for as long as needed to provide ReMatch, comply with legal obligations, resolve disputes, enforce agreements, and maintain business records. We may delete or de-identify information when it is no longer reasonably required.

Access, correction, and deletion

You may request access to, correction of, or deletion of personal information by contacting us. We may need to verify your identity and may be required or permitted to retain some information for legal, security, billing, or legitimate business reasons.

If you are a buyer whose information was entered by a real estate agency using ReMatch, we may direct your request to the relevant agency because they may be the primary controller of that relationship.

International processing

Our service providers may store or process information in countries other than Australia. Where information is transferred internationally, we take reasonable steps to use providers with appropriate privacy and security practices.
